1. Who we are

This website, pooilvaaish.im, is operated by Rosemary Glassey trading as Pooil Vaaish Engraving, a stone engraving business based in the Isle of Man.

We are responsible for the personal information collected through this website and when you order from us or get in touch.

For privacy questions or requests, contact:

2. Information we collect

We collect the information you choose to give us, which may include:

  • your name, email address and phone number;
  • the wording for your sign or gift, such as a house name, number or street name;
  • your design choices, and any photos, sketches or logos you send us;
  • details of a business brief, if you're ordering for a business, club or event;
  • details of your order and payment (we never see or store your card details: online payments are handled by PayPal, and payments in person by our SumUp card machine);
  • when you'd like to visit the studio, if you book a visit; and
  • emails, messages and WhatsApp conversations between us.

The website may also collect limited technical information automatically, such as your browser and device and the pages you visit. See section 10, Cookies.

3. How we use your information

We use your information to:

  • answer your enquiry and prepare quotes and visuals;
  • make, prepare and hand over your order;
  • arrange collection or a studio visit;
  • keep proper business and financial records;
  • deal with any questions or problems after your order; and
  • keep the website secure and working properly.

We won't add you to our mailing list just because you've made an enquiry or placed an order. You join it only if you tick the box on our enquiry or order form, and you can unsubscribe at any time using the link in every email, or by telling us. We use the mailing list to send news, offers and invitations to events.

4. Photographs of our work

We sometimes photograph signs and gifts we've made to show on our website and social media. We never include your contact details. If you'd rather your piece wasn't shown, just tell us and we won't use it.

5. Lawful bases

We use your information for one or more of these reasons:

  • we need it to give you a quote or to carry out an order you've asked for;
  • we have a legitimate interest in running and improving our business and website, where this doesn't override your rights;
  • we need to keep certain records by law, such as for tax;
  • you've given your consent, which you can withdraw at any time.

6. Who we share it with

We use a small number of trusted service providers to run the website and the business:

  • Systeme.io: our website, online checkout and order records;
  • Google Workspace: our email, enquiry forms, order tracker, files and studio visit bookings;
  • PayPal: online payments;
  • SumUp: card payments in person, for example at the studio or at markets;
  • WhatsApp (Meta): only if you choose to contact us that way.

These providers only handle your information as needed to provide their services. Some of them may store or process information outside the Isle of Man. Where that happens, we take reasonable steps to make sure appropriate data protection safeguards apply.

We do not sell your personal information.

7. If the business changes hands

If Pooil Vaaish Engraving is sold or transferred in future, customer and order records, and our mailing list, may pass to the new owner so they can continue to look after existing customers. They would have to use your information in line with this policy.

8. How long we keep it

  • Orders and payment records: for as long as the law requires for tax and accounting purposes, currently six years.
  • Enquiries that don't lead to an order: we aim to delete these within 12 months.
  • Photos, sketches and logos you send us: kept with your enquiry or order and deleted on the same timetable.

9. Your rights

Under Isle of Man data protection law, you may have the right to:

  • ask for a copy of the information we hold about you;
  • ask us to correct anything that's wrong;
  • ask us to delete your information, in appropriate circumstances;
  • object to or restrict certain uses of it;
  • ask for your information in a portable form, where applicable; and
  • withdraw consent, where we rely on it.

These rights are subject to conditions and exemptions set out in law. To use any of them, email hello@pooilvaaish.im.

You also have the right to raise a concern with the Isle of Man Information Commissioner.

10. Cookies

Cookies are small files a website stores on your device. Websites can also use similar browser storage.

This website is built on Systeme.io, which uses a limited number of cookies to make the website and checkout work, for example to keep your order details together while you buy. The website also loads its fonts from Google Fonts, which means your browser connects to Google's servers.

At the date of this policy, we have not installed Google Analytics, a Meta (Facebook) Pixel or any other advertising tracking on this website.

You can manage or delete cookies in your browser settings, although some parts of the website, such as the checkout, may not work without them.

We'll update this section if we add any analytics or other tracking in future.

11. Security

We take reasonable steps to protect your information from loss, misuse or unauthorised access. No online service can be guaranteed to be completely secure.

12. Children

Our website and services are intended for adults. We don't knowingly collect information from anyone under 18.

13. Changes to this policy

We may update this policy when our website, services or the law change. The current version will always be on this page, with the date it was last updated.
